Hybrid material
Hybrid material is Folger collection material in which two or more works with different (printed text, graphics, manuscripts, or realia) share a volume or other physical container (for example, a manuscript letter tipped into a printed book).
Staff procedures
Note: instructions below assume hybrid works with two aspects; amend as necessary for hybrid works containing three.
Procedures:
* Email appropriate cataloger of other aspect(s) (cc'ing head of cataloging)
* Indicate if original cataloging is needed or if only a copy-specific note (and any copy-specific tracings &/or genre terms, if appropriate) need to be added to an already existing record
* Include suggested wording for copy-specific notes, so that it can be easily copied and pasted into record.

* Give to cataloger (or place on their shelves, if have item in hand)
* Printed copy of above email
* Copies of all pertinent bibliographic records (or copy of catalog cards, if recon), indicating their relationship to each other
* Call slip made out to the cataloger OR item with call slip corrected to indicate correct cataloger.

1. Each work generally *should* have its own record if it is intellectually self-contained:
* Add note stating creator, title, year, location within, and shelfmark of the other work %ORANGE% (DJL) For Sammelbands, adding the shelfmark of the other work is overkill, since the note will indicate the location within the volume, and the shelfmarks will differ only by a decimal point or "item x". Plus, if we do not require it here, the contents of such notes will be consistent with printed book bound-withs. ***AEB: Totally right, shelfmark here would be overkill I think I was thinking in terms of STC and Wing numbers for items that have MSS shelfmarks. So reword to: "and STC or Wing numbers if appropriate"?%ENDCOLOR%
* In cases of interleaving, add genre term for Interleaved copies (Provenance) to both records
* Make an associated work added entry (700ǂaǂt/730; second indicator blank) for the work in the other aspect if the works are fully physically integrated (e.g., interleaved). Append ǂ5 DFo to the work added entry on records for published material. Reciprocal 700/730s are not necessary for normal bound with situations (i.e. Sammelbands).
* Make a host item added entry (773) for the work in the other aspect if the relationship is unequal (e.g., single item being cataloged is tipped into a volume containing a larger work). Include ǂ5 DFo if the work you are cataloging is published. %ORANGE%DJL: This is problematic for published material; ǂ5 is not defined for field 773 and is not intended to be used for copy-specific added entries. Since the shelfmarks will be different, can we dispense with the 773, relying on the note and distinct shelfmarks? or use a regular associated work added entry? ***EB: Uh oh. I must have missed something. We used 773 to indicate where extra-illustrations can be found, in the Garrick project, see for example http://shakespeare.folger.edu/cgi-bin/Pwebrecon.cgi?BBID=127083. 2. Subordinate material, that which is not intellectually self-contained, generally *should not* have a separate record (e.g., annotations in printed books, drawings in manuscripts). In the past, separate cards were made for ms. annotations in printed books. In contrast, book catalogers will now add a description of the manuscript material to the book record, and ms. catalogers will skip*** those cards (for recon) and books (for original cataloging).
* When working with cards: Make a photocopy of the card(s), front and back, keeping records separate since they may be distributed to different catalogers. %ORANGE%I think some of these skipped annotated items are getting picked up again during clean-up phases of the MSS cataloging project (post-1701 catalogers have already identified several & prepared copy-specific info to be added by the modern materials cataloger, so appropriate to group these/notify by e-mail (rather than ask Eric to work from item+card)?~nss 7/21/10%ENDCOLOR%
* When doing original cataloging: Fill out a call slip for the host item.

- In certain circumstances, a curator may decide that subordinate material merits its own record. %PURPLE% Generally, this would be the case if the interleaved materials have little or no direct intellectual connection to the bound item or if the creator/main entry for these materials would need to differ from that of the bound item. %ENDCOLOR% %ORANGE% (Added by kmb 05/21/10) %ENDCOLOR% If instructed to make a separate record for the subordinate material, follow the procedure above for intellectually self-contained works of different aspects sharing a physical container.

* Curators may decide that material lying loosely within a physical container, or attached but needing removal and re-housing for preservation reasons, be removed from one collection and transferred to another.
* Catalog the item(s) as you normally would, but also add:
* 561 or 852ǂz Removed from: _Creator, title, date, location within said material (shelfmark, with copy specific information, if applicable)_
* Work added entry for the larger work/former host (700 name/title or 730)
