MARC 585 Exhibitions Note

Exhibition history for items in Hamnet gets recorded in the MARC 585 Exhibitions Note. For exhibitions held at the Folger, use the wording from this list when updating Hamnet. Starting in June 2014, openings for multi-page material are also recorded here (between 1982 and 2014, openings were instead recorded on "exhibition history" slips pasted on the inside back cover). Note that some 585s still use a long form of the exhibition (with extended title and curator names), and some still have "(p. XX)" instead of "(catalog p. XX)." They will be corrected by machine.

Instructions

  • Open the Cataloging module and make sure the Options > Preferences settings include:
    • General tab: add a subfield 'a' to a new field
    • Validation tab: Bypass MARC Validation; Bypass Authority Control Validation
    • Workflow tab: Display record directly if search results in only one title
  • Find and open the bib record
  • Add a new 585 field in numeric order by MARC field, and date order by 585 field (i.e., if there's more than one 585, the most recent exhibition should be the last 585)
  • Create a new 585 field by putting the cursor in the field immediately above where the new field should go and pressing the F4 key (shortcut for "insert blank field below).
  • Copy and paste the entire 585 field into the record, replacing the 'XX' with the relevant information.
  • If the Hamnet record covers more than one copy or volume, or has numbered parts as part of the shelfmark (e.g., X.d.30 (42)), record the specific copy, part, etc., in a ‡3 as the first element in the field. E.g.: 585 ‡3 Copy 2. ‡a Washington, D.C., [...]. (Create a new subfield by pressing the F9 key then the number or letter of the subfield; the system automatically inserts the space after it.) If two or more copies, parts, etc., were exhibited, record them all in the same ‡3.
  • If the item is not in Hamnet, add it to a list, with the opening, and give the list to the Head of Collection Information Services.
