Policy and formulation

If you encounter an exhibition history slip inside the back cover of an item while cataloging it, add a 585 Exhibitions Note to the item's record if one has not already been added, following the templates below. If the exhibition slip lacks information such as the name of the exhibition or the opening, add a partial 585. (You may be able to match the date on an exhibition slip to a named exhibition using the list of Exhibitions at the Folger, but if you are not reasonably certain, it is safer not to include the information in the record.)

Add multiple 585s in descending order (e.g., the earliest exhibition goes in the first 585, the most recent exhibition goes in the last 585).

Voyager instructions

These instructions were originally written for an intern project in which Exhibitions Notes were retroactively added to bibliographic records. It has not yet been updated for the TIND catalog.

  • Open the Cataloging module and make sure the Options > Preferences settings include:
    • General tab: add a subfield 'a' to a new field
    • Validation tab: Bypass MARC Validation; Bypass Authority Control Validation
    • Workflow tab: Display record directly if search results in only one title
  • Find and open the bib record
  • Add a new 585 field in numeric order by MARC field; when an item requires multiple 585 fields, they are added in descending order, with the earliest exhibition in the first 585 (and the most recent exhibition in the last 585)
  • Create a new 585 field by putting the cursor in the field immediately above where the new field should go and pressing the F4 key (shortcut for "insert blank field below").
  • Copy and paste the entire 585 field into the record, replacing the 'XX' with the relevant information.
  • If the catalog record covers more than one copy or volume, or has numbered parts as part of the call number (for example, X.d.30 (42)), record the specific copy, part, etc., in a subfield ‡3 as the first element in the field.
