This project is designed for participants in the University of Michigan School of Information's Alternative Spring Break program. Students will handle rare books dating to the 16th and early 17th century in order to update call numbers in the book and in the online catalog to the current standard, eliminating "ghost" call numbers. They will become familiar with rare book handling, the Voyager ILS cataloging module, the STC classification system, and the history of handpress era books. This project will have a significant impact on scholars' ability to use the Folger collection effectively.

See List of call number changes for these and other updated numbers.

Background
In many cases, the Folger owns the only known copy of a rare book, therefore the book was unknown to the compilers of the first edition of A Short-Title Catalogue of Books Printed in England, Scotland, & Ireland and of English Books Printed Abroad, 1475-1640 (better known as the "STC"). This means the books did not have an "STC number" at the time of cataloging, so the cataloger devised a number that would put it in the correct sequence on the shelf. When the 2nd edition of the STC appeared, these books received official STC numbers that often did NOT correspond with the number devised by a Folger cataloger. For example, the book with call number "STC 22459.2" on the shelf has the STC (2nd ed.) number "STC 22459a.5". Participants in this project will update online catalog records to reflect the change in numbering, and will update the physical call numbers written in the books. See "Hidden Notes, Bibliographic Nightmares, and STC Call Numbers" for a blog post on The Collation that touches on this issue.

Project Outcomes
At the end of the week, participants will have handled a significant number of rare books and associated catalog records, allowing us to accurately predict the amount of time it will take to change the call numbers for all STC books with call numbers that do not match STC 2nd edition numbers. More importantly for researchers, at the end of the project the online catalog and the books themselves will display the standard STC number for each title, eliminating a huge source of confusion.
Workflow
Retrieving Books
# Go to the vault, accompanied by someone with vault access
# Pull each book; check to see if there is a photostat next to it; if so, pull photostat as well
# Leave "Original" slip on shelf for the book
# Put "Carbon" slip inside the book, sticking up so we know it has a slip
# Once you have a truck full of books, bring them upstairs

Editing the Voyager Record
General instructions
# Search Voyager Cat module using the "Keyword" Tab or the "Index Selection" tab
## Click the "Limit" button of the dialog box.
## Click the "Location" menu
## Select "Deck B-STC Vault"
## Check the box to "Retain search limits between searches" and click "OK"
## Enter search in text box with all search characters enclosed in quotation marks, e.g., "STC 20441"
## If more than one record shows up, set the book aside to deal with later (multiple bib records indicate that there is more than one title bound in the volume; we will deal with the "bound withs" as a batch.
# Open the Bib record and the associated Holdings record (Use Window > Tile to show them side-by-side)
#In the holdings record, change 852 1st indicator to "8" if necessary
# Copy the STC (2nd ed.) number from the 510$c of the Bib record
# Paste it into a new 852$h in the Holding record (the "MFHD") and add the copy number, if necessary
# Change $h to $d for old call number, keeping the copy number, if present
# If book is shelved in the "folio" or "flat" shelving add a subfield $m and write "(folio)" or "(flat)"
# If present, move the 876$z into the 852
# Create $j and move accession number from $z into $j. Remove period from the end of the accession number. Convert any accession dates from xx/xx/xx format to xx.xx.xx format. If there is no accession number, write "No case or accession number present"
# Find the 852 in the bib record (if there are multiple copies, make sure you get the right one)
# Copy and paste the contents of the MFHD 852 into the Bib 852 (leaving $a DFo alone, if present)
# Change the first indicator to "8" if needed
# Delete the 876 from the Bib record
#Add binding height to the 300$c: round up to the nearest centimeter, put a space between the number and the "cm" symbol (for bindings less than 10 cm high, measure in mm)
# Put format in parentheses and (if necessary) change abbreviation (e.g. change from
$c 12⁰.
to
$c 13 cm (12mo)
. Common format abbreviations:
fol.

4to

8vo

12mo

32mo
(see Bibliographic format for a full list)
# Add a 583 with first indicator "0" to the Bib record, for statistical purposes; change number of pieces from "1" to however many flags you need to make, if more than one; update the month when needed.
583 0_ ‡a upgraded ‡c 2016-08 ‡k EJE ‡n 1 ‡o piece ‡x Ghost Busters project ‡2 local ‡5 DFo

Special cases
* Do not change any call numbers for Shakespeare 's works (First Folio, Second Folio, and the various quartos, all shelved separately from the rest of the STCs)

* If the STC has a corresponding microfilm, change the microfilm record as follows: "$z Microfilm of STC *new number*, formerly STC *old number*, etc. "

* If the STC has an Awaiting Conservation flag, open the Conservation Database (through File Maker Pro) and change the call number to "STC *new number*, formerly STC *old number*"
** If the STC appears to need conservation attention, but can safely be re-shelved, re-shelve the book as normal after taking any preservation measures that can be taken by the ghost buster without further damaging the books (e.g. secure with a quick tie or place in a acid-free sling and folder).
** If returning it to the shelf would likely cause further damage, give the item to the Curatorial Assistant.
**Ask the project supervisor at any time about the best course of action if unsure.

* If multiple holdings records need to be combined into one (e.g. because what were once considered separate titles are now considered part 1 and part 2 of the same title):
** Re-work the holding that's being kept to include any copy-specific information that only applied to the holding that's no longer needed.
** Add information about the change, e.g. "Part 2 formerly identified as Folger *old number*."
** Type "SUPPRESSED" at the start of the 852$h of the holding that's no longer needed
** Check the "Suppress from OPAC" box near top left of the holding that's no longer needed

* If multiple bib records have the same STC number in the 510, do not make any changes. Instead, put the books on the Problem Truck and notify the Senior Cataloger. It is usually because the printed STC entry does not distinguish between editions, issues, or states, but that has to be decided by examining the books and records in question.

* If the holding has a LUNA link, notify the Metadata Specialist of the call number change (e.g. email the Bib ID) [Update: as of July 5, 2016, Ghost Buster being trained to make the change]

Physical Processing
# Copy and paste new call number into the flag template Word document
#* If the existing flag for the book has any special notes (e.g. tour notes, "Do not microfilm," etc.), preserve that information on the new flag.
# Double-check that you have the right book
# Open the book to the back and find the old call number
# Using a dull-ish no. 1 pencil (to avoid poking a hole in the paper) draw a line through the old call number
# Write the new call number in the upper outer corner of the back of the book (check with Erin or Deborah if there isn't an obvious good spot to write it)
# On the old flag, cross out the old number and write in the new one
# Trim flag to size and insert in book

Checking changes
Once changes have been made, another team member should check that flags and call numbers match, and call number is legible:
# Check the back of the book for the changed call number and make sure it is correct. If there is an exhibition slip, correct the call number on that as well
# Keep old flag in book until re-shelving in case it needs to be used as a place holder for a book sent to the holding area for overflow.

Reshelving
# Shelve book in its new spot (if there's no room, use the flag as scrap paper: write the width of the book on it, add the note "shelved in STC holding area"; leave the flag in a dummy at the new spot; shelve the book in the holding area)
# Behead the old flag so you'll know it's done
# Use the carbon to find the original original
# Pull the original original
# Put the paired carbon and original next to each other in a dummy so that they stay in order, and so that any carbons where the originals haven't been pulled stay separate
# Write "Now <new call number>" on the original
# Stamp in the original and the carbon
# File the original and the carbon

Final check
Project supervisor:
# Export all holdings updated since the previous Ghost Busters run using the Voyager web interface (remember to ignore suppressed records and convert character set to Latin 1)
#Copy the resulting file from the server to Cataloging > Ghost Busters > Quality Control

# Search Voyager Cat module using the "Keyword" Tab
## Click the "Limit" button of the dialog box.
## Click the "Location" menu
## Select "Deck B-STC Vault"
## Check the box to "Retain search limits between searches" and click "OK"
## Enter search in text box with all search characters enclosed in quotation marks, e.g., "STC 20441"
## If more than one record shows up, set the book aside to deal with later (multiple bib records indicate that there is more than one title bound in the volume; we will deal with the "bound withs" as a batch)
# Open the Bib record and the associated Holdings record (Use Window > Tile to show them side-by-side)
#In the holdings record, change 852 1st indicator to "8" if necessary
# Change $h to $d for old call number, keeping the copy number, if present
# If book is a folio, add a subfield $m and write "(folio)"
# If present, move the 876$z into the 852
# Create $j and move accession number from $z into $j. Remove period from the end of the accession number. If there is no accession number, write "No case or accession number present"

# Copy the STC (2nd ed.) number from the 510$c of the Bib record
# Paste it into a new 852$h in the Holding record (the "MFHD") and add the copy number, if necessary
# Change $h to $d for old call number, keeping the copy number, if present
# If book is a folio, add a subfield $m and write "(folio)"
# If present, move the 876$z into the 852
# Create $j and move accession number from $z into $j. Remove period from the end of the accession number. If there is no accession number, write "No case or accession number present"
# Put format in parentheses and (if necessary) change abbreviation (e.g. change from
$c 12⁰.
to
$c 13 cm (12mo)
. Common format abbreviations:
fol.

4to

8vo

12mo

32mo

# Add a 583 to the Bib record, for statistical purposes; change number of pieces from "1" to however many flags you need to make, if more than one; update the month when needed.
‡a upgraded ‡c 2016-06 ‡k EJE ‡n 1 ‡o piece ‡x Ghost Busters project ‡2 local ‡5 DFo

# If the STC has a corresponding microfilm, change the microfilm record as follows: "$z Microfilm of STC *new number*, formerly STC *old number*, etc. "

Physical Processing
# Copy and paste new call number into the flag template Word document

Final check and statistics
Do a final check and generate a list of changes as follows: (EB: still working on this)
# Export all holdings updated since the previous Ghost Busters run
# Use MarcEdit to export 001, 852$d, and 852$h as tab-delimited
# Open the tab-delimited file in Excel
# Filter the 852$h column for cells that do not contain "STC" and delete those rows
# Re-filter the 852$h for cells that contain a semicolon (or whatever in-subfield delimiter was chosen in MarcEdit) to identify records with a duplicate $h; make corrections in Voyager as needed to remove duplicates (usually it's because the original $h wasn't changed to a $d)
# Sort by 852$h and look for blanks in the 852$d column (don't filter for blanks: it's helpful to see what's on either side of them); make corrections in Voyager if needed (delete the row if the record just happens to be an STC holding that was updated outside the project).
ElizabethEdgarhttps://folgerpedia.folger.edu/_mw/index.php?title=Ghost_Busters:_Eliminating_non-existent_STC_numbers_for_Early_English_Books&diff=21626Ghost Busters: Eliminating non-existent STC numbers for Early English Books2016-06-09T12:59:38Z
ElizabethEdgar: /* Editing the Voyager Record */ Added instructions for folios

This project is designed for participants in the University of Michigan School of Information's Alternative Spring Break program. Students will handle rare books dating to the 16th and early 17th century in order to update call numbers in the book and in the online catalog to the current standard, eliminating "ghost" call numbers. They will become familiar with rare book handling, the Voyager ILS cataloging module, the STC classification system, and the history of handpress era books. This project will have a significant impact on scholars' ability to use the Folger collection effectively.
# Go to the vault
# Pull each book; check to see if there is a photostat next to it; if so, pull photostat as well
# Leave slip on shelf for the book
# Once you have a truck full of books, bring them upstairs

Editing the Voyager Record
# Search Voyager Cat module using the "Keyword" Tab
## Click the "Limit" button of the dialog box.
## Click the "Location" menu
## Select "Deck B-STC Vault"
## Check the box to "Retain search limits between searches" and click "OK"
## Enter search in text box with all search characters enclosed in quotation marks. EX: "STC 20441"
# If present, move the 876$z into the 852
# Find the 852 in the bib record (if there are multiple copies, make sure you get the right one)
# Copy and paste the contents of the MFHD 852 into the Bib 852 (leaving $a DFo alone, if present)
# Change the first indicator to "8" if needed
# Delete the 876 from the Bib record
# Measure the binding height: round up to nearest cm
## Add height to the 300$c: round up to the nearest centimeter, put a space between the number and the "cm" symbol
## Put format in parentheses and (if necessary) change abbreviation
e.g. OLD: $c 12⁰.

e.g. NEW: $c 13 cm (12mo)
Common format abbreviations:
* 4to
* 8vo
* 12mo
* 32mo
# Add a 583 to the Bib record, for statistical purposes; change number of pieces from "1" to however many flags you need to make, if more than one; update the month when needed.

Physical Processing
# Copy and paste new call number into the flag template Word document
# Double-check that you have the right book
# Open the book to the back and find the old call number
# Using a dull-ish no. 1 pencil (to avoid poking a hole in the paper) draw a line through the old call number
# Write the new call number in the upper outer corner of the back of the book (check with Erin or Deborah if there isn't an obvious good spot to write it)
# On the old flag, cross out the old number and write in the new one

Checking changes
Once changes have been made, another team member should check the changes made using the following procedures:
# In the Cataloging module of Voyager, search with limits set to "Location: STC Vault" and search "STC (new number)"
# Check the measurements of the book against the 300$c in the record. Measurements always round up, are in centimeters, and should be measured in millimeters if the book is shorter than 10 centimeters
# Check that the 510$4 matches the new STC number and 852$h and says "(2nd ed.)"
# Make sure that the 852$d contains the former call number
# The 852$h should have the new call number
# Be sure that the 876 has been deleted and the information exists in 852$z
# Repeat steps 4-6 in the holdings record as well
# Check the back of the book for the changed call number and make sure it is correct. If there is an exhibition slip, correct the call number on that as well
# Trim length of new flag and put it in the book.

Final check and statistics
Do a final check and generate a list of changes as follows:
ElizabethEdgarhttps://folgerpedia.folger.edu/_mw/index.php?title=Ghost_Busters:_Eliminating_non-existent_STC_numbers_for_Early_English_Books&diff=21605Ghost Busters: Eliminating non-existent STC numbers for Early English Books2016-06-06T15:37:51Z
ElizabethEdgar: /* Workflow */ Added Retrieving Books

Required Skills and Abilities
Must be able to handle fragile material safely, work at a computer for an extended period of time, follow technical instructions, and work with accuracy and meticulous attention to detail.

Asana
Asana is the project management tool we will be using for the execution of this project.
